Why Club Financials

Your club's books,
reimagined as one ledger

Replace the spreadsheet, the shoebox of receipts and the treasurer's memory with one place the whole committee can trust. The rules live in the database, where no one can quietly go around them.

2 officers

for every edit, delete, transfer removal or role change. One proposes; a different officer decides, whenever the club has more than one.

2 ledgers

Admin and Project, each with its own bank and cash, scoped to the fiscal year with opening balances carried in.

0 direct writes

The app never writes to the ledger tables itself. Every entry goes through a Postgres function that checks the caller.

Key features

Everything the treasurer does,
in one place

Real screens from the app, not mock-ups. Each one is a page an officer uses every month.

The entries list, with voucher numbers, accounts and amounts

Vouchered entries

Every income and expense gets an auto-numbered voucher, a category and an account, and can carry a scanned receipt.

Dues and fees: who has paid, who is partly paid and who is overdue

Dues & fees

Set dues per member or in bulk, record payments by bank, cash or out-of-pocket, and see who is overdue at a glance.

A printable payment voucher with the amount in words and signature lines

Printable vouchers

Each entry prints on its own page, club branding and amount in words included, ready for signatures.

A generated balance sheet that balances

Statements that balance

Balance sheet and income & expenditure for either account, condensed or itemised, and the two always agree.

Bank reconciliation, month by month

Bank reconciliation

Check the club's bank figure against the statement, month by month, until the difference is zero.

The audit trail: who changed what, and what it was before

Full audit trail

Who changed which field, from what to what, and when, readable by a treasurer and not just a database admin.

Maker–checker

No one officer can change the past alone

Officers create freely. But editing or deleting what is already posted, removing a transfer, or changing who is an officer raises a request that a different officer must decide. The approvals queue is the audit trail.

Who can do what
01

Proposes a change

An edit or delete of a posted entry, removing a transfer, or a change to someone's role.

Officer A

02

The request waits

The original entry stays exactly as it was. Nothing is silently rewritten.

Approvals queue

03

A different officer decides

Approve or reject. While the club has a second officer, whoever asked can never decide their own request.

Officer B

04

The change lands, on the record

Applied in the database, with who asked, who approved and what it was before.

Ledger + audit trail

Everyday tools

Fits the way your club already works

Exports, print pages and a phone app, for the moments the books leave the screen.

CSV export

Straight into a spreadsheet

Transactions, membership and the member roster export as CSV for Excel or Google Sheets, whenever the committee asks.

Print & PDF

Paper when you need it

Vouchers, member receipts, the ledger, dues and financial statements all have print-ready pages.

Any phone

An app without an app store

Add it to the home screen on Android or iPhone. A bottom bar on phones, a sidebar on desktop.

Roles & access

Simple access for everyone at the table

Enforced by Postgres row-level security, not just hidden buttons. Members land as pending until an officer lets them in.
